Do I need permission to use the videoconference unit? |

There are 2 aspects to this question.
Access to the physical unit is regulated by your school or office.
Permission from the Teleschool Branch to call other units is not required . A reservation with the Teleschool Branch is required if a multisite conferenced is desired. Point to point calls only require informing the other party that a call will be taking place. |

They are located in our Site Directory. Please contact the principal before making arrangements to use a school's video conferencing site. |

Will there be a cost for the video conference? |
| A: |
Sessions for DOE groups during the normal workday that do not require out-of-state connections incur no charge.
Conferences during non-normal hours will be charged actual costs. |

Will there be someone at the VC site to help me? |
| A: |
The VC sites operate as self-serve but in most cases there is an operator at the Liliuokalani Control Center who coordinates the session and can resolve most operating problems.
If your videoconference originates at a site other than Liliuokalani room 400, you will need to meet with the Site Supervisor who will provide you with access to the room and with basic operating procedures. Once the videoconference is underway, you may be on your own to operate the equipment. |

For trouble shooting, test connections, repair and maintenance, etc. contact the Teleschool Video Conference technicians by phone (837-8004), Lotus Notes, or via your VC unit--go to the address book to select "Teleschool MapunapunaVS".

How do I arrange a video conference with multiple sites? |
| A: |
STEP 1. Start by listing your participants, including their school or office. This will help you to decide on the potential sites to arrange. Check the Site Directory for possible video conferencing sites.
STEP 2. Please contact the principal before making arrangements to use a school's video conferencing site. As the conference requestor you are responsible for securing use of the sites for your video conference.
STEP 3. Decide on how you want the video conference to appear onscreen.
If you have just one primary lecturer-presenter or are using multi-media in your presentation (ELMO, PowerPoint, VCR or DVD playback) you will want to choose a FULL-SCREEN / LECTURE MODE to get the largest screen possible.
If your conference is all interaction, you will want to choose a CONTINUOUS PRESENCE MODE in which all the sites will appear on screen continuously thoughout the session.
STEP 4. Fill out a Reservation Request form (go to the Video Conference Resource page for the link). SAVE to YOUR DESKTOP TO FILL OUT. SAVE AGAIN, then send it to Teleschool via the lotus notes link provided on the form.
STEP 5. Communicate all conference information to your site facilitators and participants in a timely manner. (List of sites, start & end time of conference, FOR RESERVATIONS: turn on VC unit & plug in network cable 20-minutes prior to start time OR PASS ON MEETING ROOM NUMBER, VC protol, Tech. Assist phone: 837-8004, etc.) |
